Job Description

We are seeking a dependable, organized, and professional Secretary to support the day-to-day administrative operations of an organization in Charlotte, NC. This position focuses on providing administrative and clerical support, coordinating schedules, handling correspondence, organizing documents, assisting staff and management, and helping ensure that daily office activities run smoothly and efficiently.

The ideal candidate is organized, professional, detail-oriented, and comfortable handling multiple administrative tasks in a fast-paced office environment. JOB INFORMATION

Position: Secretary
Pay: $20.00 – $23.00 per hour, depending on experience
Location: Charlotte, NC
Employment Type: Full-time / W-2
Work Arrangement: On-site
Schedule: Monday–Friday, 8:30 AM–5:00 PM

KEY RESPONSIBILITIES

  • Provide general administrative and clerical support to management and office staff.
  • Answer and direct telephone calls, emails, and other business communications.
  • Schedule and coordinate meetings, appointments, and office activities.
  • Maintain calendars and assist with scheduling changes and reminders.
  • Prepare, format, review, and organize letters, reports, forms, presentations, and other business documents.
  • Maintain organized physical and electronic files and records.
  • Enter, update, and maintain information in company databases and office systems.
  • Receive, organize, and distribute incoming correspondence, mail, and documents.
  • Assist with preparing meeting materials, agendas, notes, and follow-up documentation.
  • Coordinate routine communications between management, employees, clients, vendors, and other authorized contacts.
  • Assist with travel arrangements, reservations, and other administrative logistics when required.
  • Monitor office supplies and assist with ordering and inventory management.
  • Prepare and process routine forms, expense documentation, invoices, and administrative paperwork.
  • Make copies, scan documents, print materials, and perform other routine office duties.
  • Maintain confidentiality when handling company, employee, client, and business information.
  • Assist with special administrative projects and other tasks assigned by management.
  • Help maintain an organized, professional, and efficient office environment.

REQUIREMENTS

  • High school diploma or equivalent.
  • Previous experience as a secretary, administrative assistant, office assistant, receptionist, or in a similar clerical position is preferred.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and accuracy.
  • Comfortable using computers, email, Microsoft Office, spreadsheets, word-processing software, and common office systems.
  • Good written and verbal English communication skills.
  • Professional telephone and interpersonal communication skills.
  • Ability to manage multiple tasks, priorities, and deadlines.
  • Ability to work independently while also supporting a team.
  • Ability to maintain confidentiality and exercise good judgment when handling sensitive information.
  • Professional appearance, attitude, and workplace conduct.
  • Reliable attendance and punctuality.
  • Ability to follow established office procedures and instructions.
